Build the arrival around your first commitment

For Oaks and Derby together, compare a Thursday arrival and Sunday departure with a shorter Saturday-only visit. If the party includes guests arriving commercially, choose a hotel meeting plan that does not require the charter aircraft to wait for unrelated flights. Include hats, garment carriers and any unusually bulky luggage in the cabin and baggage discussion.

Plan the final transfer

Build a Churchill Downs transfer from the entrance printed on the ticket, with vehicle credentials and pickup arrangements checked separately. Tell the driver whether the whole party is leaving after the main race or staying for later hospitality. For the return, exchange a clear meeting location and contact method before entering the venue.

Give the return flight a workable window

A Saturday-evening flight requires time to leave the grandstand, meet the vehicle, retrieve any hotel luggage and reach the FBO. Ask how flexible the departure can be without changing aircraft or crew. A Sunday return can reduce pressure on race day, but may add aircraft positioning, parking or crew accommodation that belongs in the comparison.

Compare the complete trip price

Compare the all-in cost of your chosen weekend, including special handling if applicable, parking, positioning and waiting. Request a written explanation of how a passenger-count change affects the aircraft and price. Avoid treating an airport’s proximity or an advertised hourly rate as proof that it is the cheaper complete Derby itinerary.
