How do you book a private jet?

Book a private jet by moving from a complete travel brief to a confirmed written arrangement. The seven steps below are Private Jet Specialist’s practical process for keeping the decision organized.

  1. Define the trip. Record airports, dates, time zone, passenger count, luggage, pets, and any accessibility requirements.
  2. Shortlist providers. Decide whether you want broker-led sourcing, direct contact with an operating carrier, or a recurring program.
  3. Compare written offers. Request the aircraft identity, cabin layout, full itinerary price, and inclusions.
  4. Verify the operator. Establish which carrier will fly the aircraft and request the appropriate operating information.
  5. Read the agreement. Understand cancellation, changes, substitutions, and any variable charges.
  6. Confirm payment instructions. Reconcile the recipient and payment details with the contracting party through a trusted contact.
  7. Confirm flight-day details. Check the terminal, reporting time, passenger documents, baggage instructions, and operational contact.

This sequence works for private plane booking, business jet rental, and personal charter requests. It does not mean a flight can be confirmed without availability, operational acceptance, and the provider’s required booking documents.

What information should you send for a private charter quote?

Send enough information for the provider to propose an aircraft that can perform the journey with your actual party. A city pair and an estimated headcount leave too many assumptions unresolved.

A quote brief that makes competing offers comparable
InformationWhat a useful brief looks like
AirportsPreferred airport plus acceptable alternatives at each end.
Dates and timesDeparture window, local time zone, and latest acceptable arrival.
Travel partyAdults, children, infants, and any special seating requirements.
BaggageBag count, approximate dimensions, and unusual equipment.
Cabin needsPrivacy, working space, lavatory requirements, connectivity, or catering.
Return or multiple stopsThe complete itinerary rather than only the first sector.
Budget and flexibilityA total trip budget and the requirements you can change.

Do not put passport numbers or payment details in a public inquiry. Supply passenger documents through the provider’s confirmed process when needed. The initial request can state that the necessary documents will be available.

How do you compare private jet booking quotes?

Compare private jet quotes using the exact aircraft, itinerary, total price, and contractual inclusions. Ask a provider to explain a lower price before assuming it represents better value.

Make a one-page comparison with the model and tail number if supplied, usable passenger seating, baggage accommodation, operating carrier, total amount, price expiry, and change terms. Keep unresolved items visible. “Included” and “to be confirmed” are not equivalent.

Victor’s published process emphasizes tail-number and current-image disclosure, while other providers may present options differently. Use aircraft-specific detail as a question for every provider rather than assuming all quotes contain it. Victor ↗

What should you check about the operating carrier?

Check the legal identity of the carrier operating your flight and the aircraft’s authorization for the proposed charter. The FAA’s US Safe Air Charter resources explain the distinction between authorized charter operations and an ordinary private flight. Federal Aviation Administration ↗

Ask the booking contact to provide the operator details in writing. If an aircraft is substituted, repeat the relevant checks for the replacement. A broker’s brand, a review score, and an attractive cabin photograph answer different questions from operational authorization.

Outside the United States, ask which authority regulates the operating carrier and what evidence applies to the proposed flight. Do not assume US terminology describes every international operation.

Which contract terms deserve the closest attention?

Read the terms governing cancellation, itinerary changes, aircraft substitution, and the total amount you may owe. Those provisions determine what happens when your plans or the aircraft’s availability change.

  • Your cancellation: When do charges increase, and what amount is refundable?
  • A provider change: What happens if the offered aircraft is unavailable? Is replacement travel a contractual obligation or subject to new agreement?
  • Timing: What flexibility exists if you are late or need a different departure?
  • Variable costs: Which items can be billed afterward, and what approval process applies?
  • Other arrangements: Are ground transfers, catering, and additional services part of this agreement or separate purchases?

An empty-leg offer requires particular attention to what happens if the underlying positioning movement changes. A membership or card also requires clarity about deposits, unused balances, and ongoing commitments.

What should you confirm before flight day?

Confirm the exact terminal address, reporting time, passenger instructions, and a live operations contact before leaving for the airport. A private terminal may not share the airline terminal’s entrance or parking arrangements.

Recheck the passenger list and baggage against the accepted booking, especially if the group has changed. Request written confirmation of special arrangements such as pets, mobility assistance, or unusually sized luggage.

Do not rely on a general claim that private flying always means arriving a fixed number of minutes before departure. Follow the instructions for your operator, airport, route, and travel documents.

Can credit card points help pay for this trip?

If you plan to use rewards, confirm the points route before accepting the payment deadline. Our guide to booking private jet travel with credit card points explains what to confirm before paying.

Frequently asked questions

How far in advance should I book a private jet?

There is no reliable universal lead time for every route. Ask as soon as the itinerary is known, especially if dates, aircraft, or airport access are inflexible. The provider must confirm actual availability and any preparation requirements.

Can I book a private jet online?

Some providers accept online searches and inquiries. Check whether the amount displayed is an estimate, an available offer, or a confirmed booking, and complete the required agreement and payment process.

Can a charter broker book a private plane for me?

Yes. A broker can arrange a charter with an operating carrier. The booking documents should make the relevant parties and their responsibilities clear.

What if the aircraft changes after I book?

Use the substitution and cancellation terms in your agreement. Ask for the replacement aircraft’s details, operating carrier, seating and baggage fit, and any price difference before accepting changed arrangements.
