Which charges should the quote explain?

Ask the provider to identify each cost as included, separately fixed, estimated or charged at actual cost. A quote does not become fully comparable merely because its first line says “all-inclusive.”

Charter quote checklist — charges depend on the agreement
Cost componentQuestion to ask
Passenger flight timeHow is billable time measured and rounded?
Positioning or ferry flightsWhat flying is needed before pickup or after drop-off, and is it included?
Daily or trip minimumsWhat minimum billable time applies to this itinerary?
Waiting, crew and parkingWhat happens during an overnight or multi-day stay?
Landing, handling and permitsWhich airport and international charges are included?
Catering and ground transportWhat is ordered, at what price, and who approves extras?
Deicing or other variable costsWhat may be invoiced later, and how will the amount be documented?
Applicable taxesAre they included in this total or shown separately?
Changes and cancellationWhich deadlines, amounts and nonrefundable commitments apply?

Business Jet’s FAQ distinguishes its fixed quoted flight costs from variable items such as catering, ground transport and deicing that can be billed afterward. This is an operator example, not an industry-wide inclusion policy. Business Jet ↗

Can the lower hourly rate cost more overall?

Yes, when the billed time or other charges differ. Compare the itinerary totals before using the hourly rate as a deciding factor.

Fictional quote comparison — teaching inputs, not market offers
Fictional proposalHourly rate × billable timeOther itemized costsIllustrative total
A$4,000 × 3 hours$2,000$14,000
B$5,000 × 2 hours$1,500$11,500

Proposal B has the higher hourly rate but a $2,500 lower total in this invented example. The arithmetic isolates why billed time and inclusions matter; it does not establish that these aircraft, rates or flight times are available. Before choosing a real proposal, confirm both meet the same cabin, airport and arrival requirements.

How do minimum hours and overnight stays work?

Minimum-use terms can make billable time higher than passenger flying time. Ask whether the minimum applies per flight, day or itinerary, and how it interacts with positioning and a multi-day stay.

Business Jet describes daily minimum-use billing and notes that separate round trips can sometimes cost less than leaving an aircraft at the destination. Its policy is a concrete example of why the itinerary arrangement matters; your provider may use different terms. Business Jet ↗

Request two complete options when useful: one keeping the aircraft available for the whole stay, and one arranging each passenger leg separately. Compare flexibility and recovery arrangements as well as price. Separate legs may involve different aircraft and contracts.

What should you check about cancellations and changes?

Read the agreement’s actual deadlines and consequences before payment. Do not assume there is one standard cancellation percentage for all private charters.

Victor says it passes through the operating carrier’s cancellation policies. Business Jet publishes its own cancellation terms, with different treatment around peak-demand and international trips. These examples show why the specific operator and itinerary matter. Victor ↗ Business Jet ↗

  • Ask for the deadline, its time zone and the amount at risk at each stage.
  • Distinguish a passenger-requested cancellation from weather or an aircraft problem.
  • Ask what substitution or recovery obligation exists and whether extra cost is possible.
  • Confirm the effect of changing airports, dates, departure time or passenger load.
  • Identify any third-party commitments that remain payable.

If the answer is unclear, ask the provider to explain it against your actual scenario in writing. A reassurance over the phone should not replace the commercial terms you are accepting.

How do you make two quotes comparable?

Send one consistent brief to each provider: airports, dates, passenger count, luggage, required cabin features and latest acceptable arrival. Then compare the complete amounts and exclusions on that same basis.

Record the operating carrier, exact aircraft or agreed category, expected stop plan, quote expiry, fixed amount, estimated extras and cancellation milestones. Ask which elements can change if the assigned aircraft is substituted. Use the booking checklist for the wider decision.

Our charter cost guide provides broader pricing context, while route guides show dated provider examples. Neither replaces a current quote for your flight.

Request the complete itinerary price for the actual aircraft, including positioning, minimum billable time, handling, parking, crew arrangements and any applicable taxes. Ask which items remain variable, when cancellation charges begin, and what substitution the agreement permits.

Frequently asked questions

What are positioning fees on a private jet charter?

They relate to moving the aircraft before pickup or after your passenger flight. Ask whether that flying is included in the total and how an alternative aircraft location changes the proposal.

Are deicing charges always included?

Do not assume so. Ask whether deicing is included, estimated or billed at actual cost, and how you will be notified and invoiced.

Does a short flight avoid minimum charges?

Not necessarily. The agreement may apply a flight, daily or itinerary minimum. Request the billable-time calculation for the actual trip.

Can I cancel a charter without paying?

That depends on the agreement, timing and commitments already made. Read the specific cancellation provisions before payment and ask the provider to explain any uncertain scenario.
